New Zealand Motor Caravan Association Privacy Policy

Your privacy is important to New Zealand Motor Caravan Association (referred to in this policy as NZMCA, us or we) and that is why we wish to make clear in this Privacy Policy (Policy) how we collect, use, disclose and protect your personal information.  This Policy also sets out the way in which we comply with our obligations under the Privacy Act 2020 (Privacy Act).

The NZMCA Constitution, Bylaws and Rules may include other information about how we deal with your information.  You should consider these documents carefully.  Please also visit our website regularly as we may update this Policy from time to time and any changes will be posted there. 

1. The personal information we collect

Information we collect from you

We collect personal information from you in a number of ways such as when you become a Member of NZMCA (Member), use our Member services, make enquiries about or apply to be a part of our programmes (NZMCA Programmes), such as our Park over Property Scheme, Motor Home Friendly or Campsaver programmes, whether for yourself or on behalf of an organisation you represent or otherwise engage with us.

For example, when you apply for membership or to participate in one of our NZMCA Programmes, we collect your identity and contact details, and other personal details from you relevant to your membership or the NZMCA Programme you are applying for, and your preferences relating to NZMCA products or services. If you are applying for membership and for some products and services, we will also collect your payment information. Your card information is not, however, retained after we have processed your payment

We may record details of your interactions with us, for example, when you contact our Head Office regarding Member services, NZMCA Programmes or any other matter.

When you use our website or mobile applications, we may collect information about your IP address, location or activity. If you grant NZMCA permission to capture, store and use your location on our website or mobile application, we will collect this information in real time, for the purposes of providing you with communications and advice which may be based on geographical proximity to your location.

Some of this information is collected using cookies, which don’t personally identify you but do identify your browser. You can set your browser to refuse cookies but this may mean you won’t be able to take full advantage of our website or mobile application. We also use Google Analytics and Google Firebse to monitor search behaviour and measure traffic flows. We may also collect information about your interest in our e-newsletters, any other personal information you may provide to us, or authorise us to collect, from time to time.

Information we collect from others  

We may collect information about you from others where you have authorised us to do so. We may also collect information about you from others, such as partners we work with to offer Member benefits (Partners), to assist NZMCA assess the value of those partnerships to our Members and to improve NZMCA’s communications and services to you.

We may be advised, for example, when you take out insurance with Covi NZMCA Insurance. We may also be advised by our partners when you claim a Member discount from them or apply for a Member benefit

We may also collect information about you that is publicly available.

Consequences of not providing to us, or authorising us to collect, the information requested

If you do not provide to us, or authorise us to collect, the personal information we have requested, you may not be able to enjoy your Member rights and benefits or we may not be able to provide you with our services or allow you to join in any NZMCA Programmes (including, without out limit, registration, notification of upcoming events, right to participate in and vote at an Annual General Meeting, access to the Online Services or some of the functionalities or services provided on our mobile application) or respond to any queries or requests for information you have submitted.

2. How we use your personal information

We use the information that we collect about you to provide Member services and/or NZMCA Programmes to you, or to otherwise engage with you.

We may use your personal information:

  • to register and process your application when you apply to become a Member and/or use any Member services or to participate in one of our NZMCA Programmes;
  • to verify your membership with NZMCA so that we can provide Member services to you;
  • contact you about your membership, respond to your queries, and communicate with you about our services or products;
  • to keep you informed of NZMCA news, including upcoming rallies and events. Your name and contact details may be provided to your Area Committee or the committee of any Special Interest Group you belong to for this purpose.  Please advise us if you do not want your personal information to be distributed or used in this way;
  • to provide you with advertising and information that we believe may be relevant to you or your interests;
  • to provide you communications, including for example advice on services or events within geographic proximity to you (if location data is enabled) and any other services and notifications that you may enable from time to time;
  • to notify you of your rights to participate in and vote at an Annual General Meeting.  Your name and contact details may be provided to your Area Committee or the committee of any Special Interest Group you belong to for this purpose. Please advise us if you do not want your personal information to be distributed or used in this way;
  • for posting content on our social media account(s);
  • to carry out, and comply with, our administrative, business, and legal requirements including, but not limited to, administration of the Member services we make available to you and ensuring compliance with our Constitution and Bylaws;
  • to undertake analysis and research to ensure that we provide you with the best possible Member services; and
  • to improve Member experience and to train our staff.

We may also use your information for other purposes authorised by you, or which are permitted by law.


3. Who your personal information may be disclosed to

In providing you with Member services and administering our NZMCA Programmes, we may sometimes need to disclose your information to others.  We will not however, sell, trade, or rent your personal information to others.

This may include sharing your information with:

  • your spouse/partner where you share a joint membership.  Your spouse/partner will be able to access and update personal information we collect about you. Please advise us if you do not want your spouse/partner to access and update your personal information.
  • Members:
    • to the extent that you have consented to this on your New Member Application Form or otherwise;
    • where you hold a particular role or office with the NZMCA, including without limit as an elected office holder or other officer or adviser to NZMCA, or are to be listed in any directory or listing of Member services, including without limit a site owner of a site listed in the NZMCA Travel Directory, an NZMCA App or any other directory of Member services, such that it would be reasonable to expect that Members would be able to contact you in connection with that role, office or service;
    • where you use any of our Member services, or are a participant in one of our NZMCA Programmes, and the relevant services or programme (or the manner in which those services or programmes are provided) permits or requires:
      • service recipients or participants to identify themselves; and
      • other service recipients and participants to be able to identify and/or be able to contact  fellow service recipients and participants;
    • where you become a Life Member, as your name will be published along with the names of other Life Members in a Members only area of our website (although you may advise us if you do not want your name to be published in this way);
  • third parties who assist with delivery of our elections, publications and communications to Members, including via post and email;
  • Covi NZMCA Insurance for the purpose of marketing, promoting and advertising its insurance products to Members. Please advise us if you do not wish to receive direct marketing communications from Covi NZMCA Insurance;
  • our other corporate partners to enable verification of your NZMCA membership;
  • third parties in connection with self-contained vehicle certification under the Self-contained Motor Vehicles Legislation Act 2023 (SCMVLA) if you seek certification under that Act. This includes the regulator under the SCMVLA, being the Plumbers, Gasfitters and Drainlayers Board (PGDB) or such replacement regulator as may be appointed from time to time (who may in turn be required to share that information with enforcement officers under applicable legislation);
  • third parties who assist us with operating our website and mobile application; and
  • independent data storage providers.

We will only disclose your personal information to trusted third parties. We impose strict conditions on their use of your information and require them to keep your information confidential.  

If you are subject to the disciplinary process outlined in the NZMCA Constitution and Bylaws, and this results in adverse findings against you by the Disciplinary Committee and/or Appeal Authority, such findings may be published by the NZMCA Board as outlined in the NZMCA Constitution and Bylaws.

Finally, we may release your information to government or law enforcement agencies when we believe such release is required to comply with the law.

4. How we protect your personal information

We are committed to keeping your information safe. We implement a variety of appropriate security measures to ensure your information is protected. These are reviewed and updated as appropriate.

We may store your information at third party premises, including at data storage facilities within or outside New Zealand.  We use only trusted third parties to handle and store your information.

Your information may also be stored by our corporate partners. We contractually require our corporate partners to ensure that your information is securely kept.

5. Your rights - access and correction of your personal information information

You have the right to:

  • request confirmation of whether or not NZMCA holds personal information about you;
  • request access to the personal information we hold about you.
  • request correction of any personal information we hold about you that you believe is wrong or inaccurate; and
  • if we do not agree with the requested correction, you may ask us to attach to the relevant personal information a statement of the correction sought but not made.

If your personal details change, we encourage you to update your details with us. Holding up-to-date information about our Members and those who are part of an NZMCA Programme helps us to provide better service to you.

6. Additional terms that apply to some residents of the European Economic Area (EEA)

In addition to rights already recorded above, if you are based in the European Union, you may have the following additional rights in relation to the personal information we hold about you, including the:

  • right to erasure of personal information;
  • right to restrict processing of personal information or object to processing;  
  • right to data portability;
  • right to withdraw consent to processing of your personal information; and
  • right to lodge a complaint with a supervisory authority.

Please be aware that some of these rights may be limited or unavailable where we have an overriding interest or legal obligation to continue to process the data.
